The Online and Continuing Education Division is recruiting for Program Coordinator on our McMinnville campus.    The OCE Program Coordinator provides advanced administrative, operations and special project support to the Director and other members of the OCE unit. The position requires attention to detail, resourcefulness; excellent communication, problem-solving and organizational skills; flexibility and superior computer skills.  The OCE Program Coordinator uses advanced computer skills to generate reports, maintain web pages and create the monthly newsletter.   The OCE Program Coordinator will provide faculty, staff and students with high quality customer service, including pleasant, prompt, and accurate responses to prospective and current students and faculty in consultation with other institution staff and leadership.  A review of applications begins immediately.  Applications will be accepted through August 22nd.

Work Schedule:

Monday Friday   8:00am 5:00pm.  Flexibility is required to accommodate occasional off scheduled work hours.  


Office Management

  • Provide the daily administrative support operations for Online and Continuing Education.
  • Participate in the development and implementation of efficient and effective processes for information or data management.
  • Independently handle issues that do not require direct involvement by the Director.
  • Assist with development of promotional materials.
  • Use various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to create reports and publications and maintain webpages.
  • Maintain State Authorization Reciprocity Agreements (SARA) process.

Project Management

  • Coordinate operations related to the Enrichment program.
  • Maintain, monitor, reconcile and initiate corrections for department budget.
  • Work with director and faculty liaisons to build the annual schedule of classes.
  • Manage textbook ordering process.
  • Update and maintain syllabi electronic files.
  • Prepare payroll reports for Human Resources.
  • Manage day to day operation of identity authentication process by students.
  • Solicit information from appropriate offices and produce monthly newsletter.
  • Complete special projects as assigned.

Outreach and Program Promotion

  • Provide strong customer service to broad customer base of students, faculty, staff and visitors.
  • Engage in Outreach for Professional Enrichment programs.
  • Resolve problems and respond to inquiries regarding procedures and services.
  • Maintain confidence and protect operations by keeping information confidential.
  • Respond to requests for information from faculty, staff, students, outside agencies, and community regarding programs.
  • Research and resolve issues, complaints, and/or other related problems; provide information to students as necessary.
  • Manage website content for Online and Continuing Education.

Required Qualifications:

  • An Associate's degree in office occupations or office technology and three years of general office or secretarial experience; OR A Bachelor's degree and two years of general office or secretarial experience.
  • Knowledge of academic reporting and tracking systems, i.e., Colleague.
  • Highly organized and skilled in complex program procedures and coordination.
  • Strong written/oral communication skills.
  • Excellent customer service skills.
  • Strong computer skills using a variety of computer programs to include Microsoft Office, web design, academic management software
  • Ability to multi-task various projects.
  • Ability to work cooperatively with variety of individuals through committee assignments, as well as independently; willingness to work closely with institution stakeholders, including staff, faculty, and students.
  • Demonstrated record of reliable attendance, punctuality, and proven successful performance and attention to detail at past and current employers.
  • Ability to be tactful and work under pressure.
  • Demonstrated cultural competency skills and commitment to working with diverse, populations.
